Onboarding


Once the worker has accepted the job offer, the onboarding process is activated immediately:

1. Require personal data to the employee

Ask employee for the following documentation:

  • DNI or NIE document digitalized
  • Personal email to send sensitive information to the employee: HR, emergencies, ...
  • Personal telephone numeber for emergencies.
  • NASS: "Número de afiliación a la Seguridad Social"
  • Bank account for payrolls payments (IBAN format)
  • All study titles and related documentation
Portapapeles
  • Documento DNI o NIE digitalizado
  • Correo electrónico personal para enviar información sensible al empleado: RRHH, emergencias,...
  • Número de teléfono personal para emergencias.
  • NASS: "Número de afiliación a la Seguridad Social"
  • Cuenta bancaria para pago de nóminas (formato IBAN)
  • Todos los títulos de estudios y documentación relacionada.


If the identification document is a NIE document, verify through FILAB if the job offer is possible



2. Employee registration

Set up an employee folder on Drive in the designated path: ...\Admin - HR\Management\Employees\NNNN [Full Employee Name]\

Where:

  • NNNN = 4 digits number, incremental and unique. Created adding 1 to the last one employee registered. * 
  • [Full Employee Name] = name, middle name and surnames.

* Be careful with the _history employees. It is a possibility the last employee registered is stored inside this folder.

Download, fill and store inside the employee folder the following file:

Save this filled document and the rest of documentation in the created folder.

Create the Odoo employee profile using all the documentation of the person (todo).



3. Agreement

If the worker is in an internship role, replace the current step with the following one 🧒 Internship 

Send to FILAB de following documentation of the employee and request a contract document and the form 145 :

  • Date of signature
  • Contract starting date
  • Type of contract
  • Trial time (6 months by default)
  • Annual gross remuneration
  • DNI or NIE document digitalized
  • Personal email to send sensitive information to the employee: HR, emergencies, ...
  • NASS: "Número de afiliación a la Seguridad Social"
  • Bank account for payrolls payments (IBAN format)
  • All study titles and related documentation
  • Employment status: unemployed, employed, or other.

Once you receive the contract and form 145, review them and send them to the employee to request their acceptance. 

After employee acceptance, print 3 copies of the contract and one copy of the form 145. Sign them and save each document in the correct folder:

  • Contract and 145 model in ...\Admin - HR\Management\Employees\NNNN [Full Employee Name]\

Send to FILAB and to the employee all signed documentation.

Ask to INNOVA Experts for "bonificación de la seguridad social" and applied if it is possible.

Wait for the "Alta Seguridad Social" and save it to the employee folder.



4. NDA

Send to the employee the correct NDA tamplate: 🤐 NDA

Sign them and save each document in the correct folder: NDA in ...\Admin - Legal\Management\YYYY LEG [Management]\Acuerdos de confidencialidad\
